Sell items to donors before, during or after an event.

This campaign is suitable for all kinds of goods to be sold to donors. An example may be t-shirts at a fundraising walk-a-thon or sandwiches and milkshakes at a food carnival.

Merchandise vs Ticketing Campaigns

While event day sales may also be set up on PayBee using a Ticketing campaign as described here, we recommend using the Merchandise campaign if you would like to add multiple images for every product or would like to collect additional information for every purchase.

For example, let's say you'd like to sell t-shirts and caps. For every t-shirt purchased, you need the donor's t-shirt size and color of choice. For every cap purchased, you need the donor's choice of color and delivery address. This information cannot be collected using a Ticketing campaign and must be collected using a Merchandise campaign.

Creating A Merchandise Campaign

Navigate to Campaigns > Create New Campaign > Merchandise.

Add the Basic Details, General Settings, Cover Fee Settings and Email Settings as you would with every other campaign. More information on this can be found here.

Merchandise Settings

  • Send receipt QR code - Switch ON if you want to send an email with a receipt QR code along with the payment confirmation. This is useful if you would like to mark the item(s) as delivered or picked up.

  • Enforce item inventory for this campaign - To control the number of items sold across all options in this campaign, switch this ON.

  • Item inventory count - The total number of items that can be sold across all options within the campaign. For eg., if you are selling red, white and black t-shirts but you are only able to sell 200 t-shirts overall, you would switch the previous setting ON and enter 200 as the inventory count.

  • Hide item inventory for this campaign - To control the number of items sold in this campaign but hide the number of remaining items left, switch this ON.

  • Allow for multiple type selection - When switched ON, donors can pick more than one option. This is useful when donors need to purchase a few options like sandwiches and drinks in the same transaction.

  • Enable Grid View On Donor Side - The item options are displayed as a list on the donor side by default. To enable grid view, switch ON.

Merchandise Option Settings

Add the option name, minimum and maximum quantity per transaction, amount, value if necessary, option description and summary. Add one or more images for each option and create or generate a thumbnail image so donors can see what the item looks like on all screen sizes.

  • Enforce item inventory for this option - To control the number of items sold in this option, switch this ON. For eg., if you are selling red t-shirts but can only sell 50, you would switch this ON and enter 50 as the inventory count.

  • Hide item inventory for this option - Switch ON to hide the remaining number of items left in this option from donors. If this option is sold out, this is always displayed irrespective of the flag.

  • Exclude from overall campaign inventory - Items sold under this option will not be included when calculating the total number of items available in this campaign. For eg., if you're selling various types of sandwiches and drinks but don't want to include the number of drinks sold in your overall sandwich count, you would enable this flag for the drinks option.

  • Enable As Group Order - A group order includes more than one individual item per group order. For e.g. a discounted family pack of four sandwiches would be considered a group order where the number of items per group is 4.

  • Do not send receipt QR code - If you don't want to send receipt QR codes for items purchased under this option alone, switch this ON.

  • Collect Additional Information - Collect additional information from donors for each item bought of this option type. Answers to the added questions may or may not be mandatory. The types of answers to the added questions may include:

    • Text - the donor can respond with any text

    • Selection - add multiple options and have the donor choose one option

    • Street Address - the donor must select or enter an address as the answer

    • Phone Number - the donor must enter a valid phone number
