Hello donors and guests! PayBee is one of the most intuitive and easiest-to-use systems out there! Read these instructions and watch the short videos to help you navigate your event. Hope you enjoy your experience as you support your causes.

Buy Tickets

Click on the tickets link for the event. Select the ticket type if there are options. Enter your name, email, the quantity of tickets, and any optional information requested - phone number, address, etc.

You will be sent an email with your ticket. While purchasing tickets, you may or may not be asked to add guest information. Tickets for in-person events typically require guest information.

Adding Guest Information

If you purchase more than one ticket or a table/package of tickets at the event you can reserve spots or invite guests.

In the below example, Bob Smith purchased a ticket for 10 guests. He can now do the following to add people to his ticket:

  • Reserve seats for guests by adding confirmed guests

  • Invite guests via email

Adding Confirmed Guests

Adding confirmed guests immediately reserves spots for these guests.

In the above example, let's say the ticket holder chose to add confirmed guests. Since he purchased 10 tickets to the event. He can add confirmed guests in two different ways:

  • Add guests one by one by selecting the Single option or,

  • Add a group of guests (number of guests starting with two and going up to the maximum tickets available). Guest #1 in this group will receive the email with the tickets.

Let's say, Bob chooses to add two guests in this example. There are two important options to consider when adding guests:

  • I don't have an email id: Turning this on allows the organization to assign a placeholder email to this guest. They will be assigned their own bidder number at the event.

Note: The purchaser is shown as Guest #1 when reserving tickets for the first time but does not need to be a guest on the tickets and can simply change Guest #1 to another guest.

This is what the ticket holder will see after they've reserved tickets for 2 guests.

Inviting Guests

Invited guests must accept their invitation. If they decline their invitation the host will see that indicated and can send those invites to another guest.

This is what the ticket holder will see with 2 reserved tickets sent to a guest and an invitation for 2 tickets sent to a guest. Invitations can be deleted before they are accepted.

The purchaser invited Guest #1 (Susan) in the image above and included a total of 2 tickets. Guest #1 can accept the invitation and add 1 guest. Guest #1 will receive the tickets for both guests.

Join a Virtual Gala

On a Computer, Tablet or Mobile Device

Click on the blue JOIN EVENT button on the PayBee website once you’re taken to a browser from your email. This will automatically take you to the event.

Watch Party Mode - On TV and guest devices

For Group Viewing - Click on the blue JOIN EVENT button on your computer or phone like above, then

For Bidding on Guest devices - Each guest should click on the blue JOIN EVENT button they received via email. Tap the ... on the screen once the event begins and select Watch Party Mode. The video will turn off and they can participate in bidding and chat.

Participate in Silent Auction

You don't need an account to participate in the online silent auction. Once bidding is available to place a bid press the green bid button on the item that you are interested in and enter your name, email, and phone number. You will receive notifications (text and email) from the PayBee system when you are outbid and if you are the lucky winner you will receive a notification letting you know that you have won the item.

Placing a Bid or Buying a Silent Auction Item from a QR Code

Open your camera app, scan the QR code of the item you are interested in, press the link that appears in the QR Code, press the green bid button on the item that you are interested in and select if you are entering a one-time bid or an auto bid (if available) then enter your name, email, and phone number and you are able to update the bid amount to your custom bid amount.

To place your bid on the next item please click on Bid On Other Items on your screen and your information will be prefilled.

You are able to search for the items that you are interested in bidding on.

If the option to purchase an item is available you are also able to purchase the item. You will have to enter your payment information to purchase the item. You will receive notifications (text and email) from the PayBee system when you are outbid and if you are the lucky winner you will receive a notification letting you know that you have won the item.

Set up auto bids for items

What is an auto bid?

An auto bid is an automatic bid placed on a silent auction item on your behalf once bidding has commenced for the item (if the organization has enabled auto bidding for the auction). You either have the option to place a bid on the item immediately or set up auto bidding upto a specific maximum bid amount. Setting up auto bids improves your chances of winning an item without you having to actively update your bids while competing with other bidders.

How do I select a maximum bid amount?

The maximum bid amount is the highest amount you're willing to bid on an item and is only known to you. While setting up auto bids for the item, the maximum bid must be more than the current bid by at least double the bid increment. For example, if the current bid on an item is $500 and the bid increment is $50, the maximum bid amount entered while setting up auto bids must be at least $600.

Bid Once vs Auto Bid

  • Bid Once: Select the bid amount and bid right away. A bid of the amount set will be recorded immediately. You will be notified if anyone outbids you.

  • Auto Bid: Select the maximum amount you want to bid and set up auto bidding. The system will automatically bid for you in the smallest allowed increments. A notification will be sent when the maximum amount set is reached. The auto bid maximum is secret and does not get published to bidders.

  • Tie Breaker Rules: In case of a tie, the bid that was placed first (either as an Auto Bid or as a straight bid) is considered the winner. Given the secret nature of auto bids, this is a possibility.

Save payment information to place a bid

Sometimes, nonprofits ask donors to save their payment information to place bids. Follow the steps below to place your bid:

1. Start by Placing a Bid

When you attempt to place a bid in a silent auction, you'll be asked to log in.

2. Log In Using a One-Time Code

To keep things simple and secure, you'll receive a one-time code via email. Enter that code to verify your identity.

3. Save a Payment Method

After logging in, you'll be prompted to save a payment method. You can:

  • Use an existing saved payment method

  • Add a new one using:

    • Apple Pay

    • Google Pay

    • A credit or debit card

    • A bank account

  • Choose to cover (or not cover) the processing fees on behalf of the nonprofit.

💡 Note: Your payment method will only be charged if you win the auction.

4. Confirm Your Bid

Once your payment method is saved, your bid will be accepted. You’ll receive a confirmation email letting you know that your bid and payment method have been securely saved.

5. If You Win…

At the end of the auction, the organization running the auction will charge your saved payment method for the winning amount.

Bid in a Live Auction

To place a bid for the live auction if you are attending an event in person: get ready to raise the paddle that you will be given when you check in to the event.

For anyone joining an event online, you will be able to make a bid directly from the event by pressing the green Bid button that will appear on your screen. If you are very interested in an item you can use the black Bid More button to do a higher bid.

Close Pledge Cart

To check out if you are attending an event in person: scan the QR code on your paddle to check out if you want to pay using a credit card, bank account, Google Pay, or Apple Pay. If you want to check out using cash or check please visit the checkout table and you will be checked out by a volunteer.

For anyone joining an event online, you will be able to check out by pressing the black Pledge Cart button that is on the right-hand corner of your screen. You are able to checkout and use a credit card, bank account, Google Pay, or Apple Pay.

Use <Guest 1> Email Id: Turning this on allows Guest 2 and Guest 1 to at the event. If off, Guest 2 will get their own bidder number.
